Privacy is important to us and we want you to be informed about what we do with personal data and information which has been provided to us. What we do

We are a tuition agency which introduces Clients to Tutors (who provide the tuition services to the students of the clients).

As part of our business Tutors and Clients register with us.

All Client data is held securely within the TutorCruncher database. TutorCruncher is our Data Processor and is GDPR compliant.

From and about whom do we collect or get information?

We collect information and personal data relating to our Clients (Parents/Legal Guardians), Students and Tutors. This information and personal data comes from several sources.

What information do we collect?

The personal data and information we are provided with and collect may include, but may not be limited to, the following:

• Data relating to identity, including name and dates of birth;

  • Contact details including addresses, telephone numbers, email addresses;
  • Financial information such as bank account details;
  • Sensitive data such as health, education, employment, ethnicity;
  • Details of any criminal record history.

Why do we collect this information and data and who do we share it with?

We collect this information and data in order

  • to provide appropriate introductions for clients to tutors who provide tuition services;
  • to check the skills, identity and criminal record history of tutors who register with us;
  • to maintain our own accounts and records to comply with relevant legislation.

We will also use the data we hold to communicate with the Client information about lessons, progress reports, invoicing and other marketing information about Top Class Tutor services where relevant. You may opt out of this communication at any time, but this may affect the services we can offer.

Please note that we do not sell, trade, rent to others or use any personal data or information to market in any way.

In relation to information obtained via our website we may where appropriate share your personal data with:

  • our advertisers and advertising networks that require the data to select and serve relevant adverts to you and others. We do not disclose information about identifiable individuals to our advertisers, but we will provide them with aggregate information about our users. We may also use such aggregate information to help advertisers reach the kind of audience they want to target subject to our cookies policy;
  • analytics and search engine providers that assist us in the improvement and optimisation of our site and subject to our cookies policy.

Other disclosures we may make

We may disclose your personal data to third parties:

  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets subject to the terms of this privacy policy.
  • If we or substantially all of our assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.

Security of your personal data

All personal data processed by us is stored securely (the level of security being appropriate to the nature of the data concerned and the other relevant circumstances). We use a range of organisational and technical security measures to protect your information to ensure it is not
accidentally lost, or used or accessed in an unauthorised way.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website and any transmission is at your own risk. Once we have received your information, we will use appropriate procedures and security features to try to prevent unauthorised access.

How long we keep your personal data

All Client data will be held until requested to be deleted by the Client or for 1 year after the last lesson taught by one of our Tutors.

Your rights

You have the following rights in relation to personal data relating to you that we process:

  • You may request access to the personal data we hold about you.
  • You may request that inaccurate personal data that we are processing be corrected.
  • In certain circumstances (normally where it is no longer necessary for us to continue to process it), you may be entitled to request that we erase the personal data concerned.
  • Where we are processing your personal data for marketing purposes or otherwise based on our legitimate interests, you may in certain circumstances have a right to object to that processing.
  • In certain circumstances, you may have a right to request us to restrict our use of your personal information.
  • Where we are processing personal data relating to you on the basis of your prior consent to that processing, you may withdraw your consent, after which we shall stop the processing concerned.

To exercise any of your rights (including withdrawing relevant consents or obtaining access to your personal data), you should contact us by emailing help@topclasstutor.co.uk. We will aim to respond within 30 days.

If you have a complaint about any processing of your personal data being conducted by us, you can contact us or lodge a formal complaint with the Information Commissioner.

Under 18?

We are especially concerned with protecting the privacy of children/minors. If you are under the age of 18, you must obtain your parent/guardian’s permission before providing any personal information. When providing personal information your parent/guardian should be with you to help you through this process.

Updates to this policy

This policy may be changed or amended at our absolute discretion, so you should review it from time to time so you are aware of any changes. Any changes will be posted on the website.
